Our 4D Process

Healthcare is a demanding arena and solutions need to be tailored for every situation. We follow a proven rigorous ‘4D process’ to reliably and consistently digitize paper records onsite – whatever your circumstances. Here’s the 4 phases:

  1. Discover. Our ‘Discover’ phase seeks to understand the needs and specifications of the project. We will ask you a bunch of questions to tailor a Statement of Work (SOW) for the scanning project.
  2. Define. The ‘Define’ stage stages clarifies the scope of the project , plans the necessary resources and produces a SOW.
  3. Deploy. The ‘Deploy’ stage is the ‘doing stage’ of the process which will involve the Onsite Scanning Team of experts to be onsite to digitize your records.
  4. Deliver. The ‘Deliver’ stage produces the entire set digitized records as per the specifications set in the SOW.

Recovery Audit Contractor (RAC) Audits

We are seeing an ever increasing demand to deliver onsite scanning services for healthcare providers, hospitals to practices, who have been requested to deliver medical records to Centers for Medicare & Medicaid Services (CMS). These audits are set to increase further as CMS seeks to recover what it deems are ‘improper payments’. To avoid penalties, healthcare providers must deliver these records within 45 days from the date in the letter in specified electronic document formats.

Quality Assurance

Our established 4D process, combined with industry leading technology and highly trained experienced personnel ensures we can assure the best level of service for the project.

Our technology helps us create optimized digital files at the DPI and format you need. (DPI is “dots per inch”, a measure of detail in the image; higher is better although file size is bigger). If your images are of too poor of quality they may not meet strict document retention policies, especially if that is mandated by government regulations like HIPAA. We can provide full Quality Assurance (QA) services onsite or offsite using the Scrypt Archive.
